Terms and Conditions.

These terms govern your use of heywoodacademies.com (the “Site”) and the tutoring and educational services provided by Heywood Academies (“we,” “us,” or “our”). Heywood Academies is a tutoring business based in Victoria, British Columbia, Canada.
By booking a session, creating an account, subscribing to the Problem Bank, or using this Site, you agree to these terms. If you are booking on behalf of a student under 19, you are agreeing to them as that student’s parent or legal guardian.
Please also read our Privacy Policy, which explains how we handle personal information and forms part of these terms.
1. Our Services
We provide one-on-one private tutoring in mathematics, sciences, and engineering subjects to high school, college, and university students. Sessions are delivered either online over video conferencing or in person at a location agreed with you, such as a home, a public library branch, or a cafe.
We also operate the Problem Bank, a subscription library of practice problems with worked solutions, described in section 8.
Tutoring is an educational support service. We help students understand material, build study habits, and prepare for assessments. We do not guarantee any particular grade, test score, admission outcome, or academic result. Outcomes depend on many factors outside our control, including the student’s own effort, attendance, and prior preparation.
2. Booking and Scheduling
Sessions run 50 minutes unless otherwise agreed. Bookings are made through our scheduling system, by email, or by phone.
We aim to match each student with a tutor experienced in their specific course. We may need to change the assigned tutor because of availability, illness, or staffing changes. Where that happens we will tell you in advance where we reasonably can.
Cancellations and rescheduling
If you need to cancel or reschedule, please give us at least 24 hours notice. Sessions cancelled with less than 24 hours notice, and sessions where the student does not attend within 15 minutes of the start time without contacting us, may be charged in full or deducted from a prepaid package.
If we cancel a session, or a tutor does not attend, you will not be charged and we will reschedule at no cost to you.
We understand that illness and emergencies happen. Contact us and we will deal with it reasonably.
3. Fees and Payment
Our published rates at the time of writing are:
- Online sessions: $70 per 50-minute session
- In-person sessions: $95 per 50-minute session
- Prepaid package of eight online sessions: $520, a $40 saving
- Prepaid package of eight in-person sessions: $720, a $40 saving
All prices are in Canadian dollars. Rates may change, and we will give existing clients reasonable notice before a change takes effect. A change in rates does not affect the value of sessions you have already prepaid.
Payments are processed by Stripe. We do not store your full card details on our systems. Your use of that payment service is also subject to Stripe’s own terms.
Pricing is the same across every community we serve in person, and we do not add a travel surcharge.
4. Prepaid Packages and Refunds
Prepaid session packages do not expire. You may use the sessions at any time.
Prepaid packages are refundable. If you request a refund of unused sessions, we will refund the value of those unused sessions less a $35 administration fee. Sessions already used, and sessions charged under the late cancellation policy in section 2, are not refundable.
Promotional credits, including credits earned under our referral program, are not part of a prepaid package and have no cash value. They are applied against future sessions only, cannot be redeemed for cash in whole or in part, are not transferable, and are not included in the value of any refund.
Refund requests should be sent to matt@heywoodacademies.com. We will process approved refunds to the original payment method within a reasonable period.
Nothing in these terms limits any rights you have under the Business Practices and Consumer Protection Act (British Columbia) or other applicable consumer protection law.
5. Students Under 19
Many of our students are minors. If the student is under 19, a parent or legal guardian must make the booking, agree to these terms, and be responsible for payment.
For in-person sessions with a student under 19, we normally ask that a parent or guardian is home, or that the session takes place in a public setting such as a library branch or cafe. If neither works for your household, talk to us and we will agree an arrangement that suits everyone.
Every Heywood Academies tutor holds a current criminal record check including vulnerable sector screening, completed through the police service in the jurisdiction where they live. Parents and guardians are welcome to ask us at any time about the credentials and screening of the tutor working with their child.
We carry commercial liability insurance covering our tutoring activities.
6. Academic Integrity
We help students learn. We do not complete graded work on a student’s behalf.
We will not write, sit, or otherwise complete assignments, take-home tests, quizzes, labs, examinations, or any other work that a student is required to submit as their own. We will not participate in anything that breaches a school, college, or university academic integrity policy.
We may decline or end a session, without refund, where we are asked to do this.
7. Conduct and Session Environment
We ask that students and the adults responsible for them treat our tutors with respect. We may suspend or end tutoring, without refund for a session already in progress, in cases of abusive behaviour, harassment, discrimination, or threats toward a tutor.
For online sessions, you are responsible for a working device, camera, microphone, and internet connection. We cannot refund a session lost to a problem on your side of the connection, though we will always try to make the time up where we can.
For in-person sessions, you are responsible for providing a reasonable, safe place to work. Our tutors may end a session and leave if they consider a location unsafe.
Sessions are not recorded unless both parties agree in advance.
8. The Problem Bank
The Problem Bank is a subscription library of practice problems and worked solutions. It launches in September 2026, and these terms apply from launch.
The waitlist
Joining the waitlist requires an email address only. It does not require a payment method, does not start a trial, and does not commit you to anything. You can leave the list at any time using the unsubscribe link in any email we send.
The free trial and automatic renewal
Waitlist members are offered a free 30-day trial when the Problem Bank launches. Please read this part carefully.
- Starting the trial requires a valid payment method.
- We will tell you the subscription price and the date your trial ends before the trial begins.
- Unless you cancel before the trial ends, the trial converts automatically into a paid subscription and your payment method is charged at the then-current price.
- The subscription then renews automatically each billing period until you cancel.
- You can cancel at any time, including during the trial, from your account or by emailing matt@heywoodacademies.com. Cancelling during the trial means you are not charged at all.
- Cancelling a paid subscription stops the next renewal. Your access continues to the end of the period you have already paid for.
We will send a reminder before the trial converts. If you are charged after cancelling, or charged in error, contact us and we will refund it.
Subscription fees for a period already started are generally non-refundable, except where a refund is required by law or where we have made an error. This does not affect your rights under the Business Practices and Consumer Protection Act (British Columbia).
Licence and content
Problem Bank access is a personal, non-transferable licence for one user. You may use the problems and solutions for your own study. You may not copy, redistribute, resell, publish, or share your login, and you may not use the content to build a competing product or to train a machine learning model.
We add and revise content over time. We do not guarantee that any particular problem, course, or topic will remain available.
9. Intellectual Property
All content on this Site and in the Problem Bank, including text, problems, worked solutions, images, and design, belongs to Heywood Academies or is used with permission. You may not reproduce or distribute it commercially without our written consent.
Notes and written work produced during a tutoring session are provided for the student’s personal study use, and the student is free to keep and use them for that purpose.
10. Third-Party Services and Links
We use third-party providers to run parts of our service, including scheduling, payment processing, video conferencing, email, and form handling. Using our service may mean using those providers, each under their own terms.
This Site links to third-party sites, including our social media profiles and free external study resources. We do not control those sites and are not responsible for their content, accuracy, or practices.
Reviews shown on this Site are drawn from our public Google Business Profile and are the opinions of the people who wrote them.
11. Limitation of Liability
We provide our services with reasonable care and skill. To the extent permitted by law, we are not liable for indirect or consequential losses, including academic results, lost opportunities, or lost earnings arising from the use of our services or this Site.
To the extent permitted by law, our total liability in connection with our services is limited to the amount you paid us for the services giving rise to the claim.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, or for fraud.
12. Changes to These Terms
We may update these terms from time to time. The current version is always on this page with its last updated date. Changes apply from the date they are posted. Where a change materially affects existing clients, we will give reasonable notice.
13. Governing Law
These terms are governed by the laws of the Province of British Columbia and the federal laws of Canada that apply there. Any dispute will be dealt with by the courts of British Columbia.
If any part of these terms is found to be unenforceable, the rest continues to apply.
