Heywood Academies (“we,” “us,” or “our”) operates heywoodacademies.com (the “Site”) and provides in-person and online tutoring services in Victoria, BC. This policy explains what personal information we collect, how we use it, and the choices you have.

By using this Site or submitting information to us, you agree to the terms of this policy.

  1. Information We Collect

Information you provide directly:
When you fill out a contact, booking, or inquiry form on our Site (via WPForms), we may collect your name, email address, phone number, the course or subject you need help with, your school (e.g. UVic, Camosun), and any message details you include.

If you are under 18, we encourage you to have a parent or guardian submit inquiries or bookings on your behalf, but we recognize that students sometimes contact us directly. We collect only what is needed to respond to your inquiry and arrange tutoring.

Payment information:
When you book and pay for tutoring sessions or packages, we use Stripe to process your payment. Stripe collects and handles your payment details (such as card information) directly, and we do not store full credit card numbers on our own systems. You can review Stripe’s own privacy policy at https://stripe.com/privacy. Stripe is connected to TutorBird, our scheduling and billing platform, so that payments are matched to your bookings and session records. We retain records of transactions (amount, date, service purchased) for billing and accounting purposes.

Information collected automatically:
We use Google Analytics to understand how visitors use our Site, including pages viewed, time on site, device and browser type, and general location (city/region level, derived from IP address).

We use the Meta Pixel (Facebook/Instagram) to measure the effectiveness of our advertising and to understand actions taken on our Site after someone views one of our ads.

These tools may use cookies or similar technologies. You can control cookies through your browser settings, and you can opt out of personalized Meta advertising through your Facebook/Instagram ad preferences.

  1. How We Use Your Information

We use the information we collect to:

  • Respond to inquiries and schedule tutoring sessions
  • Process payments and maintain billing records
  • Communicate with you about your sessions, packages, or account
  • Improve our Site and tutoring services
  • Measure and improve our advertising
  • Comply with legal and tax obligations

We do not sell your personal information to third parties.

  1. Information About Minors

Some of our students are under the age of 18. When a minor submits a form directly, we collect only the information necessary to respond and arrange tutoring (such as name, contact info, and subject needed). Where possible, we ask that a parent or guardian be included on the communication and be involved in confirming bookings and payment.

If you are a parent or guardian and believe your child has provided us with personal information without your knowledge, please contact us using the information below and we will work with you to address it, including deleting the information where appropriate.

  1. Sharing Your Information

We share information only with:

  • Stripe (payment processing — see Stripe’s privacy policy at https://stripe.com/privacy) and TutorBird (scheduling, billing, and session records)
  • Email or form provider (WPForms) and hosting provider
  • Google and Meta, to the extent needed for analytics and advertising as described above
  • Legal authorities, if required by law or to protect our rights, safety, or property

We do not share your information with third parties for their own marketing purposes.

  1. Data Retention

We retain personal information for as long as needed to provide our services, maintain accurate business and tax records, and comply with legal obligations. If you ask us to delete your information and we have no legal or business reason to keep it, we will do so.

  1. Your Rights and Choices

Depending on your location, you may have the right to access, correct, or request deletion of the personal information we hold about you. You can also opt out of marketing communications at any time by contacting us or using the unsubscribe link in our emails.

  1. Cookies

Our Site uses cookies for analytics (Google Analytics) and advertising measurement (Meta Pixel). Most browsers let you block or delete cookies through their settings. Blocking cookies may affect how some parts of the Site function, but will not prevent you from contacting us or booking tutoring.

We take reasonable steps to protect your personal information, but no method of transmission or storage is 100% secure. We cannot guarantee absolute security of information transmitted to or stored on our Site.

We may update this policy from time to time. The “Last updated” date at the top will reflect the most recent changes. Continued use of the Site after changes are posted means you accept the updated policy.
